Before we begin your coaching, we just need a few important details from you and for you to confirm that you understand how sessions work, and the nature of personal training.
This helps keep you safe and ensures we both get the most out of your training.
Client Terms and Conditions
Initial Consultation & Commitment Period
All new clients begin with an initial consultation/session.
Following the initial session, clients agree to a minimum commitment period of 3 calendar months based on their agreed training schedule and weekly session frequency.
The purpose of this commitment period is to allow sufficient time for consistency, progression, accountability, and meaningful training results.
Following the initial 3 month commitment period, training continues on an ongoing monthly basis unless cancelled with at least 1 calendar months notice.
Guaranteed Training Days & Times
Clients are provided with guaranteed recurring training days and times within the weekly schedule.
These session slots are reserved exclusively for the client on an ongoing basis and form part of a retained coaching arrangement rather than ad hoc session booking.
Due to the nature of reserved scheduling, Gold Medal Personal Training limits overall client capacity in order to maintain consistency, availability, and coaching standards for existing clients.
Training Structure & Monthly Billing
Gold Medal Personal Training operates on a calendar month billing structure, with payments made evenly throughout the year.
Clients training 2 or more sessions per week are enrolled on a 48 week annual training structure. This includes up to 4 weeks away from training each calendar year to account for:
• holidays
• travel
• extended illness
• planned absences
• or other personal commitments.
Monthly payments therefore remain consistent throughout the year regardless of whether a particular month contains more or fewer sessions.
This structure allows clients to retain their guaranteed weekly training slots while maintaining long term programming consistency and availability.
Payment Terms
Payments are made monthly in advance via direct debit or other agreed payment method.
Invoices and payment requests must be paid by the stated due date.
Failure to make payment may result in sessions being paused or cancelled until payment has been received.
Persistent late payment may result in the loss of reserved training slots.
Cancellation & Rearrangement Policy
A minimum of 48 hours notice is required to cancel or rearrange a session.
Sessions cancelled with less than 48 hours notice will be charged in full.
Where sufficient notice is provided, rearranged sessions may be offered on a best endeavours basis and remain subject to trainer availability.
While every effort will be made to accommodate alternative times, rearranged sessions cannot be guaranteed.
Sessions do not roll indefinitely into future months.
Rearranged or banked sessions are intended to be used as additional catch up sessions alongside a client’s existing reserved training schedule.
They cannot be used to permanently reserve, replace, or subsidise additional recurring weekly training slots or preferred peak time availability outside of the client’s agreed ongoing schedule.
Any ongoing increase in weekly reserved training times will require a formal adjustment to the client’s training agreement and monthly pricing structure.
Client Absences & Additional Missed Sessions
The included 4 week allowance for clients training 2 or more times per week is intended to cover the majority of holidays, travel, illness, and planned absences throughout the year.
Where additional sessions are missed outside of this allowance, Gold Medal Personal Training will attempt to offer alternative sessions where reasonably possible, however this remains entirely subject to availability.
Unused sessions hold no cash value and are non refundable.
Late Arrivals
If a client arrives late, the session will still finish at the scheduled time unless otherwise agreed.
Late arrival does not entitle the client to additional time or reduced session fees.
Health & Medical Responsibility
Clients confirm that they are medically fit to participate in physical exercise and agree to disclose any injuries, medical conditions, symptoms, medications, or health concerns which may affect their ability to train safely.
Clients must immediately inform their trainer of:
• injury
• illness
• dizziness
• chest pain
• shortness of breath
• pregnancy
• or any other relevant medical changes.
Participation in training sessions is undertaken at the client’s own risk.
Physical Activity Disclaimer
While every effort is made to provide safe and effective coaching, exercise carries an inherent risk of injury.
Gold Medal Personal Training accepts no liability for injuries, illnesses, health complications, loss, or damages resulting from participation in training sessions except where caused by proven negligence.
Clients remain responsible for exercising within their own physical capabilities and following coaching instruction safely.
Outdoor Training & Weather
Some sessions may take place outdoors or at external locations.
Training may continue in varying weather conditions unless deemed unsafe by the trainer.
Gold Medal Personal Training reserves the right to relocate, modify, or reschedule sessions where weather or environmental conditions create safety concerns.
Personal Property
Clients are responsible for their own belongings during sessions.
Gold Medal Personal Training accepts no responsibility for lost, stolen, or damaged personal items.
PAR-Q & Emergency Contact Information
Clients may be required to complete a Physical Activity Readiness Questionnaire (PAR-Q) and provide emergency contact details prior to commencing training.
It is the client’s responsibility to ensure this information remains accurate and up to date.
Confidentiality & Data Protection
All personal information provided will be handled confidentially and stored securely in accordance with UK data protection legislation.
Information will never be shared with third parties without consent unless required for legal or medical reasons.
Disclaimer and Assumption of Risk
Physical exercise carries a risk of injury. By participating in personal training sessions, you acknowledge and accept these risks.
Gold Medal Personal Training is not responsible for injuries or medical issues that occur as a result of undisclosed medical conditions, failure to follow instructions, or actions outside of supervised training.
You are responsible for informing of any changes to your health or medical status.
