Client Terms & Conditions
Effective from: 29 September 2026
These Terms & Conditions explain how personal training with Gold Medal Personal Training works.
Gold Medal Personal Training (“GMPT”, “we”, “us” or “our”) is a trading name of JC Health Ltd.
Our aim is to keep the arrangement fair, clear and straightforward so that both you and your trainer know what to expect.
These terms mainly apply to adult one-to-one and one-to-two personal training. Different arrangements may apply to group, corporate, youth or event-based training.
1. Getting Started
Initial Session
New clients normally begin with an initial consultation or introductory personal training session.
This gives us an opportunity to:
understand your goals;
discuss your previous training and experience;
understand any relevant injuries or health considerations;
assess your starting point where appropriate; and
decide how best to structure your training.
Your initial session is booked and paid for separately.
Booking or paying for an initial session does not by itself commit you to ongoing personal training.
If you decide that you would like to continue afterwards, we will agree your ongoing arrangements with you before regular training begins.
This will normally include your:
training frequency;
regular training day and time;
trainer;
session price or monthly payment; and
ongoing start date.
2. Ongoing Training Agreement
Regular personal training starts with an initial minimum commitment of 3 calendar months.
We use an initial commitment because consistent training allows us to build a structured programme, make progressive changes and give you a regular place within our schedule.
After the initial 3 months, your agreement continues on a rolling basis until either you or GMPT ends it in accordance with these terms.
Your agreement is with Gold Medal Personal Training, regardless of which GMPT trainer delivers your sessions.
3. Regular Training Slot
Wherever possible, we will agree regular recurring training days and times with you.
Your regular slot is reserved specifically for you.
This is one of the main differences between our ongoing coaching arrangement and simply booking individual sessions whenever space happens to be available.
Because your time is reserved, GMPT limits the number of clients accepted within each trainer's schedule.
If you would like to permanently change your normal training time, please speak to us.
We will do our best to find another suitable option, but changes are subject to trainer availability and cannot always be guaranteed.
4. Payments & Annual Training Plan
Regular training is normally paid monthly in advance by Direct Debit.
Your agreed price and training frequency will be confirmed before your ongoing training begins.
Monthly Payments
Your regular monthly payment represents your agreed ongoing training arrangement.
Where your programme is based on an annual training structure, the annual cost is divided into consistent monthly payments.
This means your payment does not change simply because a particular calendar month happens to contain four or five of your normal training days.
Once-Weekly Clients
Clients training once per week normally follow a 52-week annual training structure.
Clients Training Two or More Times Per Week
Clients training two or more times per week normally follow a 48-week annual training structure.
This builds in flexibility equivalent to four normal training weeks during each 12-month period.
For example:
2 sessions per week = 96 planned sessions across the year;
3 sessions per week = 144 planned sessions across the year.
The four-week difference is designed to accommodate normal holidays, travel, illness and other periods when you may be unable to train.
It is part of the way your annual programme is priced and should not be regarded as a separate cash balance or an additional block of sessions which must be used up.
Direct Debit Mandates
We may ask you to set up your GoCardless Direct Debit when booking your initial session.
Creating a Direct Debit mandate does not by itself create an ongoing personal training commitment.
If you subsequently agree to continue training, we may use the same mandate to collect your agreed regular payments.
5. Cancelling, Moving & Banking Sessions
We understand that work, family, travel and life sometimes mean a session needs to move.
Our cancellation policy is designed to give you flexibility while also protecting the regular time your trainer reserves for you.
Giving 48 Hours' Notice
If you cannot attend a scheduled session, please give GMPT or your trainer at least 48 hours' notice.
Where at least 48 hours' notice is provided, the session may be banked.
A banked session gives you an opportunity to complete the missed training at another mutually suitable time.
Banked sessions are always subject to trainer availability.
How Banked Sessions Work
Banked sessions are additional catch-up sessions and sit alongside your normal recurring schedule.
For example, if you normally train every Tuesday and Thursday, a banked session does not replace the following Tuesday or Thursday session. Your normal recurring training continues as usual and the banked session can be arranged separately where space is available.
Banked sessions:
cannot be used instead of your normal recurring sessions;
cannot be used to reduce or offset your monthly payment;
do not create a permanent additional training slot;
are not transferable to another person unless GMPT agrees otherwise;
have no automatic cash value; and
are subject to availability when being rearranged.
GMPT will make reasonable efforts to help you use banked sessions, but catch-up availability cannot be guaranteed.
Banked sessions are intended to provide reasonable flexibility and are not designed to accumulate indefinitely.
If a substantial number begins to build up, we may work with you to agree a sensible plan for using them.
Less Than 48 Hours' Notice
Sessions cancelled or moved with less than 48 hours' notice will normally be treated as used.
They will therefore:
remain payable;
not be banked; and
not normally be rearranged.
We may choose to make an exception in genuinely exceptional circumstances, but this is at GMPT's discretion and does not change the general 48-hour policy.
No-Shows
If you do not attend your scheduled session and have not provided the required notice, the session will be treated as used.
6. Holidays & Time Away
The annual structures described above are designed to allow a sensible level of flexibility throughout the year.
For clients training two or more times per week, the 48-week structure already makes allowance for the equivalent of four normal training weeks away.
For clients training once per week, sessions cancelled with sufficient notice can be banked and rearranged in accordance with the banking policy above.
Where possible, please give us as much notice as you can for longer holidays or periods away.
Your normal reserved training times remain part of your ongoing arrangement while you are away unless we agree otherwise.
Extended absence due to significant illness, injury or exceptional personal circumstances will be dealt with reasonably on an individual basis.
Depending on the circumstances, we may agree to:
temporarily adapt your training;
reduce your training frequency;
pause your arrangement for a period; or
end your agreement early.
Any such arrangement must be agreed with GMPT.
7. If GMPT Needs to Change a Session
Occasionally your trainer may need to cancel or move a session because of illness, holiday, an emergency or another unavoidable commitment.
Where this happens, GMPT will make reasonable efforts to:
rearrange your session with your usual trainer;
offer another suitable GMPT trainer; or
provide an appropriate credit or refund if the session cannot reasonably be delivered.
A session cancelled by GMPT will not count as one of your own cancellations and will not be lost.
8. Your GMPT Trainer
We know that having a trainer you trust and enjoy working with makes a big difference.
Wherever possible, you will work consistently with the same trainer.
Your trainer will get to know your:
goals;
abilities;
preferences;
training history;
progress; and
relevant injuries or physical considerations.
Your programme can then develop as you become stronger, fitter and more confident.
There may occasionally be times when your usual trainer is unavailable because of holiday, illness, scheduling or another reasonable reason.
Where appropriate, GMPT may offer another suitable trainer so that you can keep your programme moving.
Regardless of which trainer provides a particular session, you remain a Gold Medal Personal Training client and GMPT remains responsible for your overall service.
9. Working With GMPT Trainers
We encourage you to communicate directly with your trainer about your sessions, progress and training.
The relationship you build with your trainer is an important part of the service.
Our trainers are introduced to clients through Gold Medal Personal Training and provide GMPT services as part of the wider GMPT coaching relationship.
Where a trainer has been introduced to you through GMPT and has provided training to you, you agree not to knowingly arrange, purchase or receive private personal training or substantially similar coaching from that trainer outside GMPT:
while your GMPT agreement is active; or
for 6 months after your GMPT agreement ends,
unless GMPT has agreed otherwise in writing.
This restriction is limited to trainers introduced to you through GMPT.
It does not stop you using another personal trainer or fitness business generally and does not apply where you already had a genuine independent training relationship with that trainer before GMPT introduced you.
Normal direct communication with your trainer regarding your sessions is encouraged.
Payments for GMPT training should always be made through GMPT unless we expressly agree otherwise.
10. Your Health & Training
Before training, you will normally be required to complete our separate Physical Activity Readiness & Health Questionnaire (PAR-Q).
Please answer the questionnaire accurately and tell us about anything which may reasonably affect your ability to exercise safely.
You should also let us know if anything relevant changes while you are training with us.
This might include:
a new injury;
persistent or unusual pain;
significant illness;
chest pain;
dizziness or fainting;
unusual shortness of breath;
surgery or medical treatment;
pregnancy or relevant postnatal circumstances;
changes to relevant medication; or
advice from a healthcare professional concerning exercise.
If something does not feel right during training, please tell your trainer.
Your trainer may change or stop an exercise or session where they reasonably believe that continuing may be unsafe.
We may also recommend that you seek appropriate medical advice before undertaking certain types of activity.
Personal trainers do not diagnose medical conditions and our service is not a substitute for appropriate medical care.
11. Exercise, Safety & Your Responsibilities
Exercise naturally involves physical exertion and carries some risk of discomfort or injury.
GMPT will provide its services with reasonable care and skill and will aim to design training which is appropriate for you based on the information available to us.
We ask you to:
provide accurate relevant health information;
follow reasonable coaching and safety instructions;
tell your trainer if an exercise causes unusual pain or symptoms;
use equipment as instructed; and
communicate openly about how you are responding to training.
If you feel unwell during a session, stop exercising and tell your trainer immediately.
Nothing in these terms excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence.
GMPT will not be responsible to the extent that an injury or loss results from matters such as relevant health information being withheld, deliberate failure to follow reasonable safety instructions or deliberate misuse of equipment.
Nothing in these terms affects your statutory consumer rights.
12. Session Practicalities
Arriving Late
If you arrive late, your session will normally still finish at its scheduled time because another client or commitment may follow.
If your trainer is responsible for a significant delay, we will make the time up where reasonably possible.
Outdoor Sessions
Outdoor training can continue during normal variations in weather.
Where conditions make the planned session unsafe or impractical, your trainer may:
adapt the session;
move to another suitable location; or
rearrange it.
Safety will always take priority.
Training at Your Home or Another Facility
Where sessions take place at your home, communal gym or another privately controlled location, you are responsible for obtaining any permission reasonably required for your trainer to access or train there.
Please also tell us about any known hazards or access restrictions which may affect the session.
13. Changing Your Training Arrangement
If you would like to increase or reduce your regular training frequency, please speak to GMPT.
Any change is subject to:
trainer availability;
suitable recurring training times; and
agreement of the new monthly price.
A banked session cannot be used to create or permanently fund an additional recurring weekly slot.
GMPT may occasionally review its prices.
We will normally give at least 30 days' notice before increasing the regular price of an existing client's training.
14. Leaving GMPT
We hope you enjoy training with us for a long time, but we understand that circumstances and priorities change.
Your Initial 3-Month Commitment
Your regular training arrangement has an initial minimum term of 3 calendar months.
You can give notice during this period, but your agreement cannot normally finish before your initial commitment has been completed unless:
we agree otherwise;
there are exceptional circumstances;
a significant medical issue makes continued training inappropriate; or
you have a statutory right to cancel.
After Your Initial Commitment
Once your initial 3-month commitment has been completed, you can end regular training by giving GMPT one full calendar month's written notice.
Notice can be given by WhatsApp or email.
A full calendar month means that your notice takes effect from the start of the following calendar month.
For example:
If you give notice at any point during May, June will be your final training and payment month and your agreement will end on 30 June.
Your normal recurring sessions and payments continue during your notice period.
Banked Sessions When Leaving
If you have eligible banked sessions remaining when you give notice, we will make reasonable efforts to help you use them during your notice period.
Banked sessions remain subject to availability and cannot be used to replace your normal sessions or reduce your final monthly payment.
Any client-cancelled banked sessions which remain unused when your agreement finishes do not normally carry beyond the end of the agreement or become refundable.
This does not apply to a session owed because GMPT cancelled and failed to provide the service. We will deal with any such session fairly by rearranging, crediting or refunding it as appropriate.
15. Our Right to End Training
GMPT may end an ongoing training arrangement by giving reasonable notice.
In more serious circumstances we may suspend or end training sooner, including where there is:
persistent non-payment;
threatening or abusive behaviour;
harassment;
deliberate unsafe behaviour;
serious or repeated breaches of these terms; or
another situation which makes it unreasonable or unsafe for the training relationship to continue.
Where GMPT ends your agreement for reasons unrelated to wrongdoing on your part, we will deal fairly with any prepaid training which cannot subsequently be delivered.
16. Your Statutory Cancellation Rights
Depending on how your agreement is entered into, UK consumer law may give you a statutory 14-day cancellation period.
Where this applies, it is separate from GMPT's normal 3-month commitment and one-calendar-month notice policy.
If you ask us to begin providing your ongoing training during this 14-day period, you expressly request that the service starts before the cancellation period has ended.
If you subsequently exercise a statutory cancellation right after services have begun, you may be required to pay a reasonable proportion for services already provided where permitted by law.
Nothing in these terms limits any statutory cancellation or consumer rights which apply to you.
17. Your Personal Information
GMPT will handle your personal information in accordance with applicable UK data protection law and our Privacy Notice.
Health information provided through your PAR-Q or during your training will only be used where reasonably relevant to providing your training safely and appropriately.
Relevant information may be shared with the GMPT trainer responsible for your sessions where they need it to provide your service safely.
Health information will not be used for unrelated marketing.
18. Photos, Videos & Testimonials
Accepting these terms does not give GMPT automatic permission to publicly use identifiable photographs or videos of you for marketing.
Where we would like to use an identifiable photograph, video or testimonial publicly, we will seek appropriate permission separately.
19. Changes to These Terms
We may update these terms occasionally to reflect changes to our services, business operations or legal requirements.
If a change materially affects an existing client's rights or obligations, we will communicate the change in advance.
We will not use this provision to remove or restrict your statutory consumer rights.

21. Governing Law
These terms are governed by the laws of England and Wales.
Nothing in this section removes any mandatory consumer rights which apply to you.
